Terms of Service

1. Agreement

By using Inbox OS (“the Service”), you agree to these Terms. If you use it on behalf of an organisation, you represent that you have authority to bind that organisation. If you do not agree, do not use the Service.

2. What the Service is

Inbox OS is a software tool that connects to Microsoft 365 (via Microsoft Graph) to help triage, route, and draft replies to email using rules and knowledge-base content you supply. Features depend on what is actually implemented in the product at a given time; we do not warrant that every description on the website matches every deployment.

Outbound email from your mailbox requires explicit human approval in the product workflow as implemented - do not rely on the Service if that workflow does not meet your compliance needs; verify behaviour in your environment.

3. Your account

Provide accurate registration information. You are responsible for credentials and activity under your account. Notify us at legal@inboxosmail.com if you suspect unauthorised access.

4. Your content and your mailbox

You are responsible for the mailboxes you connect, the rules you configure, the knowledge base material you upload, and any messages sent or approved through the Service. You must have the rights and, where needed, consents to process the data you put through the Service.

5. Acceptable use

You agree not to:

  • Use the Service for unlawful purposes or to violate others’ rights.
  • Send spam, malware, or deceptive communications.
  • Attempt to break, overload, or circumvent security or rate limits.
  • Access another customer’s data without authorisation.
  • Reverse engineer the Service except where applicable law prohibits that restriction.

We may suspend or terminate access for serious or repeated violations.

6. Microsoft 365

Connecting a mailbox requires OAuth consent to the scopes the application requests. Your organisation’s Microsoft policies may require administrator approval. If you revoke access in Microsoft, related features will stop working.

Tokens used to call Microsoft are stored encrypted as implemented in the product. Microsoft’s terms and policies also apply to your use of Microsoft 365.

7. AI-assisted features

The Service may use AI models to suggest categories or drafts. Output can be wrong, incomplete, or inappropriate. You must review before relying on it. Routing or escalation rules are configured by you; they are not a guarantee that every message will be handled exactly as intended.

8. Billing, trial, cancellation, and refunds

Paid access is offered as a monthly subscription per workspace through Stripe (currently US$79 per workspace per month, subject to the price and currency shown at checkout). We do not store your full payment card numbers - Stripe does.

New subscriptions may include a 14-day trial as shown in Checkout. You should add a valid payment method before the trial ends. If no payment method is on file when the trial ends, your subscription may be cancelled automatically in Stripe and access may end.

The subscription is intended for reasonable business use by small teams managing shared mailboxes. We do not currently meter AI actions or sell separate per-seat or per-inbox add-ons through Checkout. If your usage is abusive, extreme, or materially affects service stability or cost, we may contact you to discuss fair use limits, throttling, plan changes, or a separate written agreement. Nothing in these Terms guarantees unlimited usage.

You can manage or cancel renewal through the billing area in the app, which links to Stripe’s customer portal for payment method, invoices, and cancellation. Cancelling stops future renewals; you generally retain access until the end of the period you already paid for. We do not provide prorated refunds by default.

Fees are generally non-refundable except where required by law. We may, after review, refund duplicate charges, clear billing errors, or clearly unauthorised payments.

Renewal: subscriptions renew according to the Stripe subscription you accept at checkout.

9. Privacy

Our Privacy Policy describes how we handle data and is part of these Terms by reference.

10. Service changes and availability

The Service is provided “as is” and “as available”. We may change, limit, or discontinue features with reasonable notice where practicable. We do not guarantee uninterrupted or error-free operation.

11. Limitation of liability

To the fullest extent permitted by law, we (and our suppliers) are not liable for indirect, incidental, special, consequential, or punitive damages, or loss of profits, data, or goodwill, arising from your use of the Service.

Our total liability for claims arising out of these Terms or the Service is limited to the amount you paid us for the Service in the three months before the event giving rise to the claim (or, if none, a nominal amount). Some jurisdictions do not allow certain limitations; in those cases our liability is limited to the minimum permitted by law.

12. Indemnity

You will defend and indemnify us against third-party claims arising from your use of the Service, your content, or your violation of these Terms, to the extent permitted by law.

13. Changes to these Terms

We may update these Terms. We will try to notify you of material changes (for example by email or in-app notice). Continued use after the effective date constitutes acceptance unless the law requires otherwise.
